Know what Zelun records about changes to appointments and clients

What it is

Zelun keeps a private log of changes made to your appointments and clients, so that work is never silently lost or altered without a trace. Each entry says who did something, when, and what kind of change it was.

An entry is written automatically when someone:

  • creates an appointment,
  • changes an appointment, including rescheduling it,
  • cancels an appointment,
  • checks an appointment out,
  • attaches a client to an appointment, or changes which client is attached,
  • creates or updates a client record,
  • anonymizes a client.

The log can only grow. Entries cannot be edited, and a staff member cannot delete them.

Before you start

There is nothing to set up. Recording is always on and cannot be turned off.

Be aware that this article describes what is recorded, not a screen to browse it. At the time of writing the admin has no page that lists these entries, so you cannot open the audit trail from the side menu or from an appointment. The log is held for your company, and Zelun can consult it if you need to know what happened. If you need that, contact Zelun with the approximate date and the appointment or client in question.

Steps

There are no steps in the product for reading the trail yet. In day-to-day work:

  1. Use the appointment book to see the current state of an appointment.
  2. Use a client's record, under Clients, to see that client's visit history.
  3. If you need to know who cancelled or changed something and when, ask Zelun, giving the date and the appointment.

What your clients see

Clients do not see the audit trail and it does not change anything about their experience. The protection it gives them is indirect: entries are kept by identifier rather than by name, so a client's name, phone number and the reason they gave for a cancellation are not copied into the log. When you anonymize a client, the entry records only that it happened to that client, not the name or phone that were erased.

Common mistakes

  • Looking for a screen. There is none yet in the web admin.
  • Expecting to erase a record. The log is append-only. Staff cannot delete entries.
  • Expecting names in the log. Entries identify appointments and clients by identifier, never by display name or phone.
  • Expecting the cancellation reason to be kept in the log. It is deliberately left out.
  • Expecting it to record every screen you open. It records changes to appointments and clients only.
