Create services with durations, prices and processing phases, and choose who offers them
What it is
Your services are the menu your shop sells: a haircut, a massage, a colour treatment, a class. Each service has a name, a length in minutes and a price, and you can add a few optional details: a sale price, a rebooking reminder, a group size, and processing phases for services with waiting time in the middle.
The menu belongs to the whole company, so every location sees the same list. Which people perform each service is set separately, on each staff member. Both the booking page and your own appointment book use the length you set here to decide how much time an appointment takes.
Before you start
- Decide the length of each service in whole minutes, and its price as a plain amount such as 50 or 50.00.
- Add your staff first if you have not yet, so you can tell Zelun who performs what. See the staff article.
- The Services screen sits under My business, in the Catalog section. If you are sent to a Forbidden page, ask the account owner to open this screen with you.
- A service only appears as bookable once at least one staff member is set up to perform it.
Steps
Add a service
- Open your company and find the Services card in the Catalog section.
- Under Add service, type the Name.
- Type the Duration (minutes). It must be a whole number above zero.
- Type the Price (USD) as a plain amount. The label is fixed, but the list shows the amount in your company's currency.
- Optional: type a Sale price (USD, optional). Leave it blank to charge the list price. The sale price cannot be higher than the list price. When one is set, the list shows it with the list price beside it, and that is the price clients are shown.
- Optional: type a Rebooking reminder (days, optional). Leave it blank if you never want to nudge clients to come back for this service.
- Optional: type a Group size (optional) if several clients share one start, as in a class. Leave it blank for one client at a time.
- Press Add service. The service appears in the list with its length and price, plus small notes for any reminder, group size or processing gap you set.
Add processing phases (for services with waiting time)
Use this for a service such as hair colour, where the person is free while the product develops.
- In the service form, under Processing segments (optional), press Add segment.
- For each part choose a type: Work, Gap (processing) or Finish, and type its Minutes.
- The first and last parts cannot be a gap, and the total of all parts becomes the duration. Once you add segments the Duration (minutes) field is filled in for you and cannot be edited.
- Save. During the gap the staff member can be booked for other services. Rooms and equipment stay held for the whole appointment.
Edit a service
- Press Edit next to the service. The form switches to Edit service.
- Change what you need and press Save service, or press Cancel to leave it as it was.
- Emptying an optional field and saving removes it. For example, clearing the sale price returns the service to its list price.
Choose who offers each service
- Open Staff, then a person under People.
- In the Services list, tick every service this person performs and save.
- A person with no ticks shows No services assigned and cannot be booked for any service.
Share a booking link for one service
Next to each service, Copy booking link copies a link that opens the booking page on that service. Share on WhatsApp prepares a message with the same link. If your company has more than one location, you choose the location first.
What your clients see
- The service name, its length and its price on the booking page. If you set a sale price, clients see that price, not the list price.
- Only services with at least one staff member assigned to them can be booked.
- A group service offers a start that several clients can join, up to the group size.
- Clients do not see the phases. They see one appointment of the total length, and the gaps simply make more openings available for your other bookings.
- A rebooking reminder is a nudge to clients who have no future appointment for that service after the number of days you set. Without it, none are sent.
Common mistakes
- Expecting to find the service menu under Staff or Book. The menu lives under My business, Catalog. Staff only decides who performs each service.
- Creating a service but not assigning anyone. It will not appear as bookable until a person has it ticked.
- Segments that do not add up. Phases must start and end with Work or Finish. A gap at either end is refused.
- Typing a price with a currency symbol or a sale price above the list price. Use a plain amount and keep the sale price at or below the list.
- Typing a group size of zero or a decimal. It must be a whole number of clients, at least one.
- Looking for a way to delete a service. The screen offers editing only.
- Looking for a screen to manage portfolio photos. The booking page can show a "See the work" gallery per person and service, but the web admin has no screen to add or remove those photos.
