Set a location's cancellation fees and brand on its branch page

What it is

Each location (branch) has its own page, opened from Branches in the Setup group of the sidebar. It holds the settings that belong to that location and nothing else, separate from the day-to-day appointment book, from company-wide settings, and from roles and permissions. Its details, country, closures and booking rules are covered in their own articles. This article covers two parts of the page:

  • Cancel policy: the fee you charge when a client cancels late, and the fee you charge when a client does not show up.
  • Brand for this location: an accent colour, logo and cover photo for this location. Anything you do not override follows your company's brand.

Everything on the screen applies only to the location named at the top, shown as the company name and the branch name.

Before you start

  1. Make sure you have access to the location. If you do not, the screen does not show its settings.
  2. Decide your fees. Each one is either a fixed amount, entered in cents (for example 5000 for 50 pesos), or a percent of the service price, from 1 to 100.
  3. For brand images, have an image file ready (a photo saved as a standard image file). The company's own brand is set under My business, and this screen only overrides it for one location.

Steps

Open the screen

  1. Open Setup and choose Branches. The list shows every branch you can reach.
  2. Click the branch you want. Its page opens. All branches at the top takes you back to the list.

Set the cancel policy

  1. Under Cancel policy, look at Late-cancel fee tiers (hours before appointment). Each tier has an Hours before number, a fee type (Fixed (cents) or Percent of service price) and the fee amount.
  2. Press Add tier to add another tier, or Remove to delete one. At least one tier must remain.
  3. Under No-show fee, choose Fixed (cents) or Percent of service price and type the amount.
  4. Press Save policy. The screen confirms with Policy saved.

The screen refuses to save and shows an error if a percent fee is outside 1 to 100, a fixed fee is not a whole number of cents of zero or more, an hours value is not a whole number of at least 1, or two tiers use the same number of hours.

Give this location its own brand

  1. Scroll to Brand for this location. For each of Accent colour, Logo and Cover photo, a label tells you whether it is Inherited from company or Overridden for this location, with a preview of what is in effect. If nothing is set you see None set.
  2. For the accent colour, pick a colour or type its code, check the preview, and press Save accent.
  3. For the logo or cover photo, press Override and choose an image file. The image is uploaded and saved right away. Once overridden, the button reads Replace.
  4. To go back to the company's version, press Use the company's on that row.
  5. The screen confirms with Brand saved.

What your clients see

  • Fees. Your cancel policy sets the fees clients are subject to when they cancel late or miss an appointment. Clients do not see this screen.
  • Brand. The accent colour, logo and cover photo you set here are what clients see for this location on your booking page. A location you leave alone shows the company brand.

Common mistakes

  • Typing pesos instead of cents. Fixed fees are in cents, so 50 pesos is 5000.
  • Using the same hours twice. Each tier needs a different Hours before number.
  • Picking a colour that is too pale. The screen asks for a darker shade because it must stay readable on the booking page.
  • Expecting a brand change to affect every location. It affects this location only. Use the company's brand kit for all of them.
  • Seeing a message that brand images are not set up. In that case the image buttons are not shown and only the colour can be set. Try again later or contact Zelun support.
  • Seeing a message that you do not have permission to change this location's brand. Nothing was changed. Ask the account owner to give you access.
  • Looking for opening hours further down. Hours, time zone and the booking start interval are in the Details form at the top of the same page.
