Add locations (branches) to your company and group them into regions

What it is

Your company is the business as a whole. A location, which the product calls a branch, is one place where you serve clients: its own opening hours, its own time zone, its own appointment book and its own booking link. A company needs at least one branch before anything can be booked.

All your branches are listed in two places: the Locations section of My business, and Branches in the Setup group of the sidebar. Every row opens that branch's own page, where you edit it.

When you have several branches, you can sort them into regions. A region is only a name you choose, such as "North" or "Downtown", that you can filter the branch list by, so a long list is easier to browse. Regions do not change prices, hours, taxes, language or currency, and a branch works exactly the same with or without one. Each branch belongs to one region at most.

Two other things are easy to confuse with a region, so here is where they live:

  • Region and Country in the address. The address block of a branch has its own Region and Country fields. They describe where the branch is, for the Google Maps match. They are not the same thing as the grouping above.
  • Currency and country. Both belong to the company, not to a branch or region. They are set under Currency and Country in My business. A branch in a different country from the company, for example a shop across a border, can set Country of this location on its own page.

Before you start

  1. Sign in with an account that has access to the company. If My business or its buttons are not available to you, ask the account owner.
  2. For each branch, have its name, its opening days and hours, its time zone, and its street address ready.
  3. Decide how you want to group branches, if at all. You can skip this and add regions later.

Steps

Your company and its first location

Zelun creates your company and a first branch when you sign up, so there is nothing to create here. Adding a further company is done by the Zelun team, from a list that only their account can open.

Add another branch

  1. Open My business and go to the Locations section, or open Branches in the sidebar.
  2. Press Add branch. A page opens with the branch form. From Branches, first pick the Company the branch belongs to.
  3. Type the New branch name. Set the Weekly hours, the Timezone and the Public booking start interval. If you leave every day unchecked, hours stay unconstrained, and clients can book at any time until you set them.
  4. Optionally pick a Region and write About this location.
  5. Press Create branch.

Edit a branch

  1. In Locations or Branches, find the branch. Use the search box if the list is long. You can also filter by Region, and under Show only pick No Maps match, Hours not set or Public page on to find the branches that need attention. Clear filters shows them all again.
  2. Click the branch. Its page opens, with All branches at the top to go back to the list as you left it.
  3. Under Details, change what you need and press Save. Besides the fields above, an existing branch also has the address block (Street, City, Region, Postal code, Country, Latitude, Longitude, Telephone), the optional Google review link, and the Public page switch.
  4. The same page also holds the branch's public booking link, its country, its closures and holidays, its booking rules, its cancel policy and its brand. Those are covered in their own articles.

Group branches into regions

  1. Open the branch page, or the Add branch page. In the Region field choose a region, No region, or + New region….
  2. For a new region, type its name under New region name and press Save. The new region is selected for this branch.
  3. To manage them all, press Manage regions in Locations. There you can Rename or Delete each region. Deleting asks you to confirm, and the branches in it become unassigned. They are not deleted.
  4. Each row shows its region. In the Region filter, Unassigned lists the branches without one.

Change your currency or country

  1. In My business, find Currency, choose it and press Save currency. It is locked after your first payment.
  2. Find Country, choose it and press Save country. It is used to read phone numbers typed without a country code and to pick the language of messages to clients who have not chosen one. It never changes a phone number that is already saved.

What your clients see

  • Each branch has its own booking page and booking link. Clients choose the branch, and see its hours and, if you filled it in, the About this location text.
  • Opening hours and the booking start interval decide which times clients can pick.
  • Regions are for your own organization. Clients do not see them.
  • A branch marked No Maps match is left out of the Google booking feeds. Clients who find you through Google will not see that branch there.

Common mistakes

  • Expecting a region to change anything else. It only groups the list. Hours, prices and currency are set elsewhere.
  • Mixing up the two Region fields. The grouping is the Region field near the top of the branch form. The one inside the address is part of the street address.
  • Leaving hours empty by accident. The branch shows Hours not set, and clients can book at any time until you define hours. Open the branch and set them.
  • Wrong time zone. Hours are read in the branch's own time zone, so choose the one where the branch is.
  • Giving two regions the same name. The screen says that a region with this name already exists. Names are compared without regard to capital letters. An empty name is also refused.
  • Expecting a deleted region to remove its branches. It does not. They move to Unassigned.
  • Expecting to change the currency later. It is locked after your first payment.
  • A branch with no Maps match. The branch list marks it No Maps match. Check its address and coordinates if you want it to appear in Google's booking feeds.
  • Looking for a map of your branches. The branch list is a list only. It has no map view.
