Check out an appointment, take tips and retail sales, and balance the cash drawer
What it is
Checkout is how you finish an appointment and record what the Client paid. It works like a simple cash register inside the diary. You do not need a card reader or any special hardware to use it.
From one screen you can:
- Charge the service, add a tip and sell a retail product in the same checkout.
- Choose how the Client paid (cash or card).
- Let the Client use loyalty points, referral credit, a package they bought earlier, or a deposit they already paid.
- Print a receipt.
The cash drawer is the other half. Each day you can open the drawer with the cash you start with, note any small cash you take out, and close it by counting what is in the till. Zelun tells you what should be there and whether you are over or short.
Checkout is part of every Zelun plan. The invoice side (CFDI) is explained in the CFDI article, so this one does not repeat it.
Before you start
- Services and a booked appointment. You check out an appointment that already exists in the diary.
- For retail sales, products in your inventory. The retail product list only appears when your location has products marked Sell this on the register.
- Sales tax, if you charge it. Set it once on the Inventory screen, Register tab, under Location sales tax (%). Type a percentage and press Save tax rate.
- For card payments, your card payments account. If you pick a card option and no card payments account is connected for your company, the checkout is refused and nothing is recorded as paid. Cash always works.
- Where the register settings live. The Inventory item in the left menu holds the Register tab. If you are sent to a Forbidden page, ask the account owner to set the tax rate and to open and close the drawer.
- Amounts are typed in cents on the checkout screen. The tip field is labelled Tip (cents).
Steps
Check out an appointment
- Open the diary for your location and click the appointment.
- In Tip (cents), type the tip, if there is one, in cents.
- If a button with a suggested product appears, press it to add that product. It is only a suggestion, and nothing is added until you press it. It is never forced on the checkout.
- To sell a product, choose it in Retail SKU and type the amount in Retail qty. Half units are allowed.
- If your company sells packages, you can pick one in Sell package. If the Client already owns a package balance, choose it in Redeem balance to use it.
- If the Client has referral credit or enough loyalty points, a field appears to redeem them (Apply referral credit or Redeem points). The loyalty field shows their balance and what the points are worth. Points and credit lower the service line before tax.
- If the Client already paid a deposit, the screen shows Service total, Deposit applied as a negative line, and Balance due. The payment you choose below covers the balance. If the deposit was kept as a late-cancellation fee, the screen says so instead of showing a credit.
- In Payment method, choose how the Client paid: Cash, Credit card, Debit card, SPEI transfer, OXXO or Client credit. If the Client paid with more than one method, tick Split payment, add a row for each method and type the amount of each in cents. Leave the last amount empty to charge whatever is left. The amounts must add up to the total, tip included, or the checkout is refused and nothing is saved. A deposit the Client already paid counts as one of the payments for you.
- Optionally add Visit notes and attach a photo.
- Press Checkout. The appointment is paid, retail stock goes down by the quantity sold, and the amounts are saved on the appointment.
Give the Client a receipt
- After checkout the sheet changes to Checked out with the client's name, the service, how long it took and who did it. It shows the Service line and, when a package was used, Package redeemed with how many visits are used and how many the client has left. Due now shows what is still to collect. Press Receipt.
- The receipt shows the Client, the service, the date, each line, the Service total, and the Total. When a deposit was used it also shows Deposit applied, the date it was Deposit captured, and Balance due. It also shows the Tender.
- Press Print receipt to print it or save it as a PDF from your browser.
- Press Rebook now to start a new booking for the same service, team member and Client. It is not offered for a walk-in with no Client.
- To issue a tax invoice, use Facturar (issue CFDI) on the same appointment. See the CFDI article.
Open the cash drawer for the day
- Open Inventory, choose your location, and open the Register tab.
- Check Drawer date.
- In Opening float ($), type the cash you put in the till to start. This is optional.
- Press Open drawer.
Take small cash out during the day
- In Petty cash out ($), type the amount.
- Press Petty out. It also shows up on this week's expenses.
Close the drawer
- Count the cash in the till and type it in Counted ($).
- Press Close drawer.
- The summary shows Opening float ($), Cash taken, Petty cash out, Expected in the till, Counted, and Variance. The expected amount is the opening float plus cash taken, minus petty cash out. A variance below zero means the till is short.
- If the drawer was opened without a float, the screen says the opening float is unknown, the expected amount is partial, and no shortage can be concluded. No variance is shown for a drawer that has not been counted.
- A variance never stops you closing. It is recorded and you can still close.
Some accounts also see a short observation generated by AI under a counted drawer. It only describes the drawer's own cash sales and petty cash, and it never names a team member. It does not change any of the numbers.
What your clients see
- Clients get the price you charged, with any tip and any retail product on the same checkout.
- A Client with a deposit sees it taken off their balance. The receipt lists it as Deposit applied.
- A Client can use loyalty points or credit they earned. A Client can also earn loyalty points on the first checkout, based on what they paid for the service.
- The receipt is printed or saved from your screen. The screens in this version have no button that emails a receipt to the Client.
- If you issue a CFDI, the Client receives the invoice by email. Tips are not part of it.
- Clients never see the cash drawer.
Common mistakes
- Typing the tip in pesos. The tip is typed in cents.
- Choosing a card option without a connected card payments account. The checkout is refused. Connect the account first, or choose Cash if the Client paid in cash.
- Using Cash for card payments. The drawer's Cash taken counts only the cash part of each payment. Card, SPEI and OXXO amounts do not belong in the till, so choosing Cash for them makes the drawer look over.
- Picking the wrong card type. Credit and debit cards are recorded differently on the tax invoice. Choose the type the Client actually used.
- Paying mostly with Client credit and then asking for an invoice. Client credit has no payment form on the tax invoice. If it is the largest part of the payment, Zelun cannot issue the CFDI. See the CFDI article.
- Forgetting the opening float. Without it Zelun cannot say whether you are short.
- Trying to edit a checkout after invoicing it. Once a CFDI is attached to a checkout, its lines and payment cannot be changed.
- Looking for the drawer in the diary. The drawer and the sales tax rate are on the Register tab of Inventory, not on the appointment.
- Expecting a promo code field at checkout. Promo codes and desk discounts are entered when the booking is created. See the discounts article.
