Manage gifts that clients buy for friends: resend the text and refund unused gifts
What it is
A client who has a booking with you can buy a service as a gift for someone else. The recipient gets a text message with a link, and the gift is applied automatically as a discount when they book and pay for that service. You do not create gifts yourself in the admin: your clients buy them, and you manage the results in the Gifts list.
Before you start
- Gifts are paid for by the buyer by card through your connected payment account, so the shop needs one connected for the option to work. See the related articles on payments.
- The text message to the recipient uses your prepaid messaging credits. With no credit, the gift is still created but the text is not sent, and the list shows it so you can resend it later.
- The Gifts list is on My business. If you are sent to a Forbidden page, ask the person who manages your company account.
Steps
Review gifts
- Open My business and go to Catalog and find Gifts.
- Use the filter buttons All, Pending, Redeemed, Expired and Refunded.
- Each gift shows its status, whether it is a Service or a Package, Paid amount, To the recipient phone, when it Expires, and the text status: Text sent, Text failed, Text not sent (no messaging credit) or Text status unknown.
Resend the text
- On a Pending gift, press Resend text. A resend uses a messaging credit just as the first send would.
- The screen shows Text status with the result. Only pending gifts can be resent.
Refund a gift
- On a Pending or Expired gift, press Refund and confirm. The payment goes back to the buyer through your payment account.
- The gift becomes Refunded and the recipient can no longer use it. A Redeemed gift cannot be refunded here. If the refund fails, the gift stays as it was.
What your clients see
- The buyer sees Send as a gift on their booking page. They must be signed in, enter Recipient's phone number, confirm the number carefully, press Continue to payment, then Pay and send gift. They cannot gift to their own number, and after too many gifts in a short time they are asked to try later.
- The recipient gets a text with a link. The page says You've received a gift! and names the gift. For a service it tells them to book that service, and the discount is applied automatically at checkout. If they open it with a different phone number, the page says it was sent to another number without showing it.
- When they are checked out for that service, the gift value comes off the bill and the gift becomes Redeemed. If the recipient has several matching gifts, the one that expires first is used. A gift for another service is not applied. A gift that already expired or was used cannot be applied again.
- A recipient who is not yet a client becomes one when they redeem.
Common mistakes
- Expecting the text to go out with no messaging credits. It shows as not sent. Add credit, then press Resend text.
- Expecting an expired gift to refund itself. Refunds are never automatic. Press Refund when you want to return the money.
- Trying to refund a used gift. Only pending and expired gifts can be refunded.
- Expecting the buyer's wrong number to be fixable. A gift sent to the wrong phone cannot be recovered, which is why the buyer is asked to double-check it.
- Looking for a way to create a gift from the admin. Clients buy gifts on the booking page. The admin lists, resends and refunds them.
