Sell visit packages and credit, and let clients renew their balance
What it is
Packages let you sell prepaid value to a Client and let them use it up over time. There are two kinds:
- Visits (one service): a bundle of visits for one service.
- Credit (dollar balance): a balance in money that the Client can spend at checkout.
You can also mark a package as a Recurring membership (monthly). A package can expire after a number of days you choose, or never.
The Client's remaining balance is visible to the Client on their appointment page. When a balance is running low or has run out, a signed-in Client can renew it there with a card payment, without calling you.
About the wallet pass: the product has the back end for a pass that shows a package balance in Apple Wallet or Google Wallet and updates itself when the balance changes. At the moment there is no "Add to Wallet" button on the booking page or on the appointment page, so Clients cannot add a pass yet. The pass also needs signing credentials from Apple and Google that are not set up. This article therefore does not describe a pass your Clients can use. It will be documented when the button is released.
Before you start
- Your services already created, because a visits package is tied to one service.
- A card payments account connected for the location if you want Clients to renew by themselves. Without it, renewal is refused with a message that payments are not available. Selling and redeeming a package at the desk does not need it.
- The Client needs a Client login (see the article on client login) to renew by themselves. The appointment page asks them to sign in first.
- Packages has its own page in the Money group of the side menu. If you are sent to a Forbidden page, ask the account owner to set packages up with you.
Steps
Create a package
- Open Packages in the side menu. The Catalog lists each package with its price, what it holds and how many sold this month.
- Press New package. The New package window opens.
- Fill in Name.
- In Kind, choose Visits (one service) or Credit (dollar balance).
- For visits, choose the Service and fill in Number of visits. For credit, fill in Credit amount (USD).
- Fill in Price (USD), the amount the Client pays for the package. The labels show USD on this screen; use your own currency's amount.
- Optional: Expires after (days, optional). Leave it blank to never expire.
- Optional: tick Recurring membership (monthly).
- Press Add package to save it. To change it later press Edit on its card (the window is called Edit package) and then Save package. To stop selling it press Deactivate; it stays in the list marked inactive and balances already sold keep working.
Sell a package at checkout
- Open the appointment in the appointment book and go to the checkout.
- In Sell package, choose the package. The field only appears when you have at least one active package. Leave No package to sell nothing.
- Complete the checkout as usual (see the checkout article).
Use a balance at checkout
- In the checkout, open Redeem balance. It lists the Client's visit balances for this appointment's service and any credit balance, each with what is left.
- Choose the balance, or leave No balance to pay normally, and complete the checkout. The visit or the credit is taken from the balance.
Check a balance, history or refund
- On Packages, Client balances lists every client's package with what is left (for example "3 left") and when it expires or renews. You can also open Clients, pick the client and open the Packages tab, which shows the same balances with Refund and History.
- Press History to see every purchase, redemption, refund, expiry and membership renewal. Press Close when you are done.
- Press Refund to refund the unused balance of a package. Confirm the question that appears. A refunded package cannot be renewed.
Correct a balance
- On Packages, in Client balances, press Adjust on the balance.
- In the window Adjust the balance enter the New balance and a Reason. The reason is required, and the balance has to change.
- Press Save adjustment. The adjustment is recorded in the package history as Adjustment, with your name and the reason.
What your clients see
- On their appointment page, under Your balance, a Client with a package sees visits or credit remaining and, if the package expires, the date.
- If the package can be renewed, a Renew button appears next to it. A Client who is not signed in sees Sign in to renew. After signing in, the Client confirms the card payment with Confirm payment and sees that the balance was refreshed. Renewing a one-time package puts the visits or credit back to the full amount and sets a new expiry date counted from the payment.
- A package that was refunded or cancelled has no Renew button. If the location has no card payments account, renewing fails with a message.
- Zelun does not send a message telling a Client that a balance is low or about to expire. The Client only sees the balance and the Renew button when they open their appointment page. You may want to remind them yourself.
- Clients cannot add a wallet pass yet, as explained above.
Common mistakes
- Expecting an automatic "your package is running out" message. None is sent. Renewal is something the Client starts from their appointment page.
- Telling Clients to add the pass to their wallet. The button does not exist yet and the signing credentials are not configured.
- Forgetting to connect card payments. Without it Clients cannot renew by themselves.
- Choosing the wrong kind. A visits package is tied to one service; the Redeem list only shows visit balances for the service of that appointment. Credit can be spent on any service.
- Deactivating a package and expecting old balances to vanish. Balances already sold keep working. Deactivating only stops new sales.
- Expecting a recurring membership to be fully described here. This article covers selling, using and renewing balances. A Client who already has an active subscription on a package does not get a second subscription from the Renew button.
