Read your location report and the company financial roll-up

What it is

Reports is one screen per location that answers "how did this period go?" in plain language, money first and activity second. A second screen, the company financial roll-up, adds up all your locations and shows how your profit is trending.

The reports are a fixed set of figures for one location and one date range. You cannot build custom reports or ask free-form questions; the only things you choose are the dates (and, on the roll-up, weekly or monthly). All amounts use your company's currency. Reports is open to every owner, and the roll-up only shows companies your account can reach.

Before you start

  • Check that Expenses and staff pay arrangements are up to date. Revenue is counted from appointments that were checked out, using the price actually charged. Appointments that were only booked do not count as revenue.
  • Pick the location with the location switcher in the header. Opening Reports takes you to the one you used last.

Steps

Read a location report

  1. Open Reports in the Money section of the menu.
  2. Choose the dates: press This week, Last week or This month, or fill in From and To and press View period. Weeks run Sunday to Saturday, and a day counts in UTC.
  3. Read from the top:
  • A short sentence at the top says what you keep after expenses and pay due, and may name the person who brought in the most revenue and the biggest cost. When there is too little data, it says less rather than guessing.
  • Money: Checked-out revenue, Expenses, Pay due, Net and True net. Each shows how it compares with the period just before (same length, immediately earlier), and names that earlier period in words.
  • Activity: Bookings, Utilization (with your target when you set one), No-shows and Late cancels.
  • Bookings by channel: Desk, Public, Fill and Unrecorded (older appointments with no channel recorded).
  • New clients by source: where new clients came from, such as Google, Instagram, Referral, Walk-in, Desk, Public, Other or Unknown. Clients created before sources were recorded count as Unknown.
  • Top link sources: which booking links brought bookings.
  • No-Show Shield: no-shows avoided (confirmed by reply and attended), fees recovered (only fees actually collected, not those still owed), holes refilled, deposit-protected bookings and the protected value, each with the previous period beside it.
  • Watch-outs: No-shows, Late cancels, Unfilled gaps and Open chair time, plus one sentence about how many no-shows had no deposit. It only names a pattern when the data supports one.
  • By day: revenue and expenses for each day.
  • Where it went: expenses by category, biggest first.
  • Monthly standing (not in week expenses): your monthly fixed costs, listed apart.
  • A note on whether inventory on-hand is included.
  • Staff: each person's bookings, revenue, share of revenue and utilization.

How the main figures relate

  • Net is checked-out revenue minus expenses minus pay due.
  • True net is Net minus the monthly standing costs, such as rent. Both are shown; neither replaces the other.
  • Expenses is the week's list in Expenses, so the two screens always agree. It does not include monthly standing.

Export to CSV

  1. On the report, press Export CSV.
  2. A file downloads with the same figures as the screen, including the channel and source counts and the day-by-day rows. It names your company currency in its header.
  3. It never contains client names, phone numbers, emails or notes.

Read the company financial roll-up

  1. On the location report, press Company financial roll-up.
  2. Choose dates as before. Company totals shows revenue, expenses, pay due, net and true net added up across all locations.
  3. By branch lists every location with its own figures. A location with no activity still appears, with zeros, and the totals equal the sum of the rows.
  4. Trend shows true net over the recent past. Press Weekly for roughly the last twelve weeks or Monthly for roughly the last twelve months. Those are the only two choices.
  5. Back to branch report returns to a location.

What your clients see

Nothing. Reports are internal and clients never see any of these figures. The report helps you decide things clients do notice, such as adding a deposit or filling open gaps.

Common mistakes

  • Expecting rent in Expenses. Monthly standing costs are shown separately and only reduce True net.
  • Thinking an unpaid fee counts as money recovered. Fees still owed are not counted as recovered.
  • Treating Unrecorded or Unknown as an error. They are older appointments or clients created before the channel or source was kept.
  • Expecting a custom report or filter. The report only changes with the dates.
  • Comparing periods of different lengths. The comparison is always against an equally long period right before the one you chose.
  • Expecting inventory figures when none are set up. The note on the screen says whether inventory is included.
