Close a location for holidays and other days, and use the Mexican holiday list
What it is
A closure tells the product that a location is closed on certain days, for example a holiday, a repair or a trip. Every day in a closure is closed for the whole location, for every team member. It is different from time off, which blocks one person, and different from the weekly opening hours, which repeat every week.
A closure has a first and a last closed day, a Label that clients can read, an optional Private note that only your team can read, and an option to repeat the same dates every year. Each location can have up to 200 closures.
The Closures and holidays section also has a list of the Mexican statutory holidays, so you can close for the national days without typing each one.
Before you start
- You need to be an owner of the company. The Closures and holidays section is on the page of each location, under the form with its details.
- Choose the Label with care. Clients see it exactly as you write it, so keep private details out of it. Put private details in the Private note.
- Check the location's time zone. A closure covers whole calendar days in the location's own time zone.
Steps
Add a closure
- Open Branches and open the location.
- In Closures and holidays, press Add a closure.
- Set First closed day and Last closed day. For one day, use the same date twice.
- Write the Label (shown to clients). The form reminds you that clients see it.
- Optional: write a Private note. The form says that only your team sees it and clients never do.
- Optional: tick Repeat every year to close the same dates every year. This works for closures of up to 31 days.
- Before you save, look at the warning under the dates. If visits are already booked on those days, it shows how many there are and which services they are for. It never shows client names, and it never stops you from saving.
- Press Save closure. The closure appears in the list straight away.
Edit or delete a closure
- In the list, press Edit to change the dates, the label, the note or the yearly repeat, then press Save changes. The warning appears again if you change the dates.
- Press Delete and confirm with Yes, delete it. Its days can be booked again.
- A closure whose dates are all in the past is marked Ended. It stays in the list as a record.
Turn on the Mexican holidays
- In Closures and holidays, find Statutory holidays.
- Under Holiday calendar, choose Mexico. The product may suggest it from the location's address, time zone or currency. You can still see and change that choice, and nothing is switched on because of it.
- Choose the Year. The list shows each holiday with its date. Days that move each year, such as the first Monday of February, are marked Moves each year.
- Switch on the holidays when the location closes. Days that have already passed cannot be switched on.
- Press Review changes. The screen lists the days that will close and the days that will open again, and shows the warning about booked visits.
- Press Confirm to apply, or Back to change your mind. Looking at the list, changing the year or switching days on and off changes nothing until you confirm.
- To open a holiday again, switch it off, review and confirm. That removes its closure.
The list covers the rest days the product can work out by itself. The extra rest day for election day is not on it, so add it yourself as an ordinary closure when it applies.
Look after visits that are already booked
- A closure never cancels or moves a visit by itself. After you save, each team member who has visits on the closed days gets a button, Review reassignment, under the section.
- Press it to open that person's plan. The visits appear under Needs a decision, tagged Closure, with no replacement suggested, because nobody is open that day.
- For each visit, cancel it or leave it for later. Nothing happens until you press Apply plan, and the screen tells you how many clients will be told.
- Cancelling a visit because of a closure never charges a cancellation fee and never counts against the client. A deposit that was only held is released. A deposit that was already charged is refunded in full to the original payment, and the plan shows how many deposits and what total before you apply. Stripe keeps its own processing fee on payments it refunds, so your shop bears that fee.
- If a refund is refused, the visit stays booked and the row says the deposit could not be refunded. Try again or refund it from the appointment.
- Each client who is cancelled is told the label of the closure, the first day you are open again and a link to book another time.
- If you shorten or delete a closure, visits that are no longer on a closed day leave the plan. Visits you already cancelled stay as they are.
What your clients see
- A closed day cannot be booked. On the booking page it is shown as closed and offers no times, and the same is true for rebooking offers and waitlist offers. Other locations of your company are not affected.
- The booking page and the location's public page show a short line for upcoming closures, with the dates and your label. Nothing else about the closure is shown, and your Private note is never shown.
- A client who already has a visit on a closed day keeps it until you decide what to do with it.
- A client does not get a reminder for a visit on a closed day. If you delete the closure before the visit, the reminder is sent as usual.
- A repeating booking whose next date falls on a closed day is not created for that date, and the client is told it needs attention. The series waits until the closure is removed or the client books another time.
- The public page can take up to five minutes to show a new closure.
Common mistakes
- Assuming a closure cancels bookings. It does not. Visits already booked stay booked until you review and apply the plan.
- Putting private information in the label. The label is public. Use the Private note for anything your team should know.
- Expecting a closure to block one person. A closure is for the whole location. Use time off for one person.
- Expecting a browsed holiday to be switched on. Nothing changes until you press Confirm.
- Expecting the holiday list to include every rest day. The election-day rest day is not on it. Add it as an ordinary closure.
- Choosing a repeating closure longer than 31 days. Repeating closures are for short breaks. Add longer closures one by one.
- Changing the time zone and expecting the dates to move. The dates stay the same calendar days in the new time zone.
- Expecting an old holiday to be switched on. Days that have already passed are not offered.
