What you and your clients accept, Terms of Service and Privacy Notice
What it is
Zelun asks you, the owner, to accept two documents: the Terms of Service and the Privacy Notice (shown in Spanish as the Aviso de Privacidad). Zelun keeps a record of who accepted which version and when. Your clients are asked to accept the Privacy Notice too, when they book on your booking page.
Zelun publishes these documents. Your business does not write or change them, and this article does not explain what they say. Read them yourself before you accept.
Each document has versions. When Zelun publishes a new version, earlier versions stay on record, and anyone who accepted an earlier version keeps that record.
Before you start
- You need to be able to open the documents. Each acceptance box has a link to the document it refers to.
- Accepting is done by the owner of the business. It is recorded against the person, not only the company.
- You cannot read the acceptance record yourself, and you cannot publish versions. Both are tools for the Zelun team, so an owner or staff member does not see the Legal Documents page or the Acceptance status table.
Steps
Accept when you sign up
- On the sign-up screen, enter your business details.
- Tick I accept the Terms of Service and I accept the Privacy Notice. The names are links that open each document.
- Continue to create your account. You cannot continue without ticking both. Your acceptance of the current version of each is recorded when your business is created.
Accept again when a document is updated
- After Zelun publishes a new version, the next time you try to change something in your business you are taken to a screen that says These terms were just updated. Please review and accept them again.
- Tick both boxes, opening the links to read the new versions, and press Continue.
- You are returned to where you were, and you can change things again.
See who accepted what (Zelun team only)
- The Zelun team opens your company under Companies and reads Acceptance status.
- The table shows the Owner, the Document, the Version and Accepted, which is the date and time. An older acceptance that predates tracking is marked Grandfathered.
- If there is nothing yet, the table says No acceptance records for this company yet.
What your clients see
- If a Privacy Notice has been published, the booking page shows a link to it with the text By continuing, you agree to our Privacy Notice. Without a published notice, the link does not appear.
- When a client confirms a booking, Zelun records that they accepted the current Privacy Notice. It records this once for each client and version, not on every booking.
- Clients are not asked to accept the Terms of Service. Those are between you and Zelun.
- A client never needs to sign in or re-accept anything to keep their appointment.
Common mistakes
- Waiting on the update screen. If you are sent to review updated terms, you cannot change anything in your business until you accept. Your existing data stays visible.
- Another team member looking for the acceptance record. Neither staff nor owners can read it. Ask Zelun support if you need it.
- Expecting an old acceptance to count for a new version. Each version needs its own acceptance, and the old record is kept.
- Expecting this article to explain the legal text. It only describes how acceptance works. For what the documents mean, read them or ask an adviser.
